Hi R-12,
Can you believe it, I'm getting the newsletter out early. Reason being is that next week, I'll be busy, so I just wanted to get this out of the way.
As you all know, the re-Charter season is here. As of right now, we have 6 out of 18 Chapters already renewed. That is great progress. Some of you that still haven't renewed just needed to send in your $$ and update your FactSheet and you'll be done. Others still have work to do by getting your members renewed, etc. May I please make a suggestion? Just go ahead and send in your re-Charter check to the DLC today. That way, that portion is already done.
As most of you will already know, I was elected the new IPMS/USA Secretary and was due to take office on February 1st, 2010. But the incumbent, James Corley, resigned and I took over effective on October 15th. So we'll need to find someone to take over as RC. The new timeline to find my replacement is as follows:
Oct 15 - Nov 29 Get nominations for RC
Nov 30 Nominations cease
Dec 1 - 5 DLC announced nominations are closed and will distribute a "questionnaire" to the nominees.
Dec 10 Deadline for questionnaire return
Dec 11 - 30 DLC selects/recommends a nominee to the E-board. The E-board will approve for reject the nominee. If approved, DLC will announce the winner.
Jan 1 New RC receives training from the DLC. Old RC (me) will pass along all RC related files.
As of right now, we have two nominees, Tim Kirkland from Spartanburg Scale Modelers and James Moody from Upstate Scale Modelers. If anyone else would like to put their name's in the hat, please contact the DLC ASAP. If you're interested in learning more about the RC job, just ask me.
Attached is the 2009 and 2010 contest schedule that I just updated.
Remember that in two weeks, on November 7, the R-12 Regional will be held in Fayetteville, NC. From what Mike and the crew have told me, they only have 4 vendor tables left and as always a killer raffle. So please go to your Regional and we'll have the Regional Business meeting (around 11AM if I remember correctly). All IPMS members are welcome to the Business Meeting.

Hi my friends,
Can you believe it, the second straight R-12 newsletter out early, I must be sick. The main reason why this is early is that I have to work both days next weekend, right after Thanksgiving.
If you missed the Regional in Fayetteville on November 7th, you missed a great show. It was their biggest show yet with 77 entrants and 400 entries. I am super proud of the Lafayette Scale Modelers crew; I just knew that they could do it. As usual, they had some fun with their awards and looked very kool. Well done to everyone involved.

One thing that was needed was more judges; they only had 15 guys to judge the 400 entries. With more judges, they could've spread out the workload and get finished sooner.
I was disappointed in the turnout for the Regional business meeting; we had 4 Chapters represented with 6 people. Here's what we talked about:
• The re-Charter is in progress, so far 8 out of 18 Chapters have renewed. We could've had 4 more completed if they had gotten their Fact Sheet done in October and sent in with their re-Charter fee. Now they have to wait until members renew their membership. I highly recommend that those that have not renewed yet to please see what they still lack and get going on it. You all should know by now the re-Charter season ends on New Year's Eve. I also highly recommend that you go ahead and send in the re-Charter fee now, with the Holidays right around the corner, mail service will slow down.
• As you know, I've been elected IPMS/USA Secretary and had to take over early since the last one stepped down. Therefore we need to get a new RC. All nominations must get to the DLC no later than 30Nov09. So far we have three individuals that want the job, they are (in alphabetical order):
David Corvino from IPMS/Coastal Carolina (Charleston, SC)
Tim Kirkland from IPMS/ Spartanburg Scale Modelers (Spartanburg, SC)
James Moody from IPMS/JG-85 (Greenville, SC) and IPMS/Upstate Modelers (Spartanburg, SC)
As soon as the new RC is chosen, we'll work together so that he will get up to speed as soon as possible. I have all of the files on a thumb drive, so that will help them out greatly along with "the book". The new RC can use the policies and procedures that I established or he can replace them with those of his own.
...And now some words from our DLC on this subject.
The nomination window closes at the end of November. If you or your club wish to
submit a person's name as a nominee for Regional Coordinator please email that
person's name to me prior to the end of the month.
Please verify with your nominee that they wish to be considered for RC. We do not
want it to be a surprise to them that they were nominated.
Please have your nominee verify that their IPMS membership is active and current.
Please make sure that the person making the submission is also a current IPMS member.

• I've been reading all of the hub-bub on the Discussion Forum concerning 123 vs. GSB at Regionals'. So for my own personal information, I asked if we could talk about it. Both judging systems have good and bad points, but the main conscience was to just let the Chapters decide for themselves on which one they want to use, don't dictate.
• Lastly, we talked about contests in general. It was suggested that IPMS moves more into Chapter/SIG displays and less into the competition. It was mentioned that the Fayetteville Chapter is looking into this for their "show" next year, should be fun.
I've heard from the Lynchburg Chapter and they have had to cancel their contest for next year due to the current economy. From what I've heard, they had difficulty getting vendors and just can't swing it for next year, but they'll be back in '11. So that's great news.
Please remember that if you have an event, such as a contest, display, swap meet, etc. and it is a Chapter event and you want IPMS/USA insurance, you must fill out an Event Data Sheet (I have them and will supply it to you upon request). Before I can approve the event, I coordinate your date with my counterparts in R-2, -3 and -11. So it might take a couple of days before I can get back to you. Therefore, it's important that you get with me as soon as you can so that we can work it out.
Since the year is almost out, please think about the Chapter of the Year award for 2009. The nominations must be into the new RC no later than March 1st. The reason being is that the RC must notify the DLC of the pick by March 15th. So this gives the RC only 15 days to determine who should win the award.

Hello my friends,
This is my last newsletter as I have to step down since you guys elected me as IPMS/USA Secretary. You have a new RC in David Corvino; his e-mail is "dcorvino@sc.rr.com" . He will take over on January 1st, so after that date, get with him. I've suggested to David that he contact you guys early in the month to pass along his requirements, ideas and thoughts. My RC e-mail address will be deleted the first full week of January, but you can still contact me at "ipmssec@ipmsusa.org". David and I will get together on Sunday, January 3rd so that I can pass along the Regional files & stuff.
I've been helping David get up to speed and will continue to help as long as he needs it. His first tasks will be to choose the 2009 R-12 Chapter of the Year and award the 2011 R-12 Regional Contest. He is using the deadlines that I set up for both, which is March 1st. The reason being is that he must pick the CoY winner and let the DLC know by March 15th. That March 15th deadline is set up by the DLC, not the RC. He will pass along the CoY winner info to the DLC for consideration for the 2009 IPMS/USA CoY award. David will also get the CoY award from IPMS to pass along to the winning Chapter at a date he decides, more than likely at the 2010 Regional in Sumter, SC on April 9 & 10.
The 2011 Regional bid can be sent in anytime you have it, so far no one has gotten with me to indicate they are interested. So start on those bids.
Right now we have only two Chapters that have not renewed their charter. One has membership problems and the other just needs to send in the money. Why they waited until the last minute, only they know, 3 months is long enough to get the re-charter done. If they do not renew by December 31st, they will be taken off of the IPMS/USA web site, if they have any events listed, those will be deleted as well. The sad thing is they will loose any seniority in IPMS that they might have. It would be a shame if the chapter was formed back in the '60s and then loose this seniority due to not renewing on time.
Doug Hamilton, the new incoming DLC has asked that the RCs pass along this info you the membership.
"There is a USPS requirement that all membership applications that are mailed to the National Office arrive with the signature of the person applying for IPMS membership. If the signature is missing the form cannot be processed. Please be sure to sign your form when you renew!
This requirement, of course, does not apply to on-line renewals or membership purchases but only those sent by snail mail. Thanks!"
It has been a pleasure being your RC, maybe sometime after my term as Secretary; I could become your RC again. We'll see.
I ask that you help David out as much as you can. Being RC is not that difficult, but does take a bit to get used to its own requirements and demands.

Attached is my first newsletter as RC of Region 12. The most critical agenda items concern the Chapter of the Year nominations, and 2011 Regional bids. Please respond as soon as possible if you are interested in either of these two items.

And a Happy New year to all of you. I hope you had a great Christmas and turn of the new year. My name is Dave Corvino. I am the new regional coordinator for our region. I am also the chapter contact for the IPMS Coastal Carolina Modelers. We are located in the Charleston area. I would like to send my best to everyone and say I am looking forward to working with you in the coming weeks and months as we roll through another year of club meetings, events, contests, and camaraderie. Before I get to the agenda items, I would like to say Thank You to Tim Darrah for the great job he did as our RC. If you don't know it already, Tim was the Regional Coordinator of the Year...and he deserved it. I think he's the best we've ever had. I intend to continue on the path he set
for us. He leaves a great example to follow.
First up on the agenda is the Chapter of the Year nominations. Please send them to me as soon as possible. The deadline for nominations is March 1st. I must choose a winner prior to March 15. I will be looking for the chapter that accomplished the most for IPMS/USA, the Region, and the hobby. The nomination package of the winning chapter will also be submitted for consideration in the National Chapter of the Year award.
Next is the 2011 Regional Contest. I need to have bid packages in no later than March 1st. Please note that a Regional is considered a step above a local, one-day event. All bids should reflect this, but does not mean that it has to be a two-day event. Any bid received that does not measure up to this standard will be returned and an improved submittal will be requested. There is no guarantee, either implied or otherwise stated that a submission will receive award. Chapters that do not get the award are highly encouraged to submit again the following year.
The award will be based on information supplied by the bidding Chapter. The decision of the RC is final. Bids should include the following information:
• A brief history of your Chapter's experience hosting a contest. Please include a brief summary explaining why you want to host the Regional.
• Venue information – location, address, square footage of the location, floorplan of the facility, how many extra meeting rooms it has, photos of the inside and outside of the location, number of parking spaces, costs etc.
• Primary date and alternate date
• Theme with explanation if not readily apparent
• Special awards with explanation if not readily apparent
• Category awards, explanation of what they will look like and photo if possible
• Special Displays, and Guest Speakers, if you'll have them and what they are
• Additional Show Attractions, what is within 30 minutes from the Contest location? Don't need a detailed list; just an idea of what else is out there.
• Hotels/Motels in the area. What is near the contest location, but again don't need a detailed list. If you arrange a "deal" of a local hotel/motel - the address, cost per night (normal vs. contest rate) and how far it is from the contest location are required. A photo of the hotel/motel is strongly suggested, but not required.
• Estimated Budget – cost of the contest location, cost of tables & chairs, cost of meeting/speaker/extra display rooms, any extra expenses incurred at the location. Trophy package expenses, how many you're going to buy and at what price. Advertising costs. And anything else you can think of what will cost you.
• Estimated Funding – anticipated Entrant fees, Vendor fees, General Admission fees, Raffle ticket sales, Sponsorships, etc. Basically how much you expect to make in these areas. Include entrant fee per person, what the IPMS/USA discount will be, raffle ticket prices – if it will be assign-a-prize or first come, first served, vendor table price per table.
• Contest Staff listing – who's doing what job. Names, addresses, phone #s and e-mail addresses are needed here.
• Tentative Contest Schedule – Registration times, vendor set-up times, Business and Judges meeting times, raffle times, Award Ceremony and closing time.
• Category listing – the categories will follow those of the IPMS/USA Nationals. You do not to match every single Nats category, but use that numbering system. See the attachment of the Nats listing and a "sample category listing". Indicate which categories you expect to split.
• The "No-sweeps" rule is in effect, you may however use a "modified No-Sweeps". Indicate which version you will use.
• NOTE: All host Chapters must be and remain a current IPMS/USA chartered chapter during the time of a bid is sent until the convention. If two, or more, chapters join together to put on a Regional, all must be currently chartered IPMS/USA.
• Provide IPMS/USA with a 4"x5" black and white .pdf file for one free advertisement in "The Journal".
• If you provide a discount to IPMS/USA members at registration and provide categories for pre-teens/teens, you may apply for a $200 grant from IPMS/USA. Contact the DLC directly for the form.
• Information on the banquet facility including menu and price per ticketed guest. However, a banquet is not necessary to host a Regional.
• Contest registration prices for contestants and general admissions. Should include any extra cost for additional models entered or unlimited entries. Discount for early registration, if any, and/or IPMS/USA members.
• Once the bid has been publicly announced you will still need to fill out the Contest Registration Page on the IPMS/USA web site.
Post Regional Requirements
• Full winner's list, Entrant/Entry numbers, "After Action Report", etc. due to the RC NLT 30 days after the event.
• Full financial information due to the RC NLT 60 days after the event.
• Provide the IPMS/USA web site with a CD-ROM with photos of models entered, vendors, people, special events/displays, etc. This will reflect greatly on your club if you do this.
As the RC, I am not trying to micro-manage the Regional. I do, however, want to ensure it will be a great and successful show for both your Chapter and the Region. An well-organized Regional will reflect greatly on your Chapter and the Region as a whole; if poorly organized the opposite will happen. Sell me on your bid; tell me why you should receive the bid.

Finally, I am working on a web site for the region. I would like to use it as a repository for regional information, plus I would also like to spotlight each of the Region 12 clubs. Photos from club meetings and events are a good way to advertise your club. I will also build links to club web sites, and other hobby related interests. I guess that's all for now. For those of you that enjoy model contests, I highly recommend next week's contest in Jacksonville, Florida. JaxCon 2010 is going to be a great event. I have gone to the last two JaxCon events and had a great time at both. Last year I traveled with 8 members of our club and met up with 8 others from a non-IPMS club in our area. We all thoroughly enjoyed ourselves. Lots of categories, lots of awards, and lots of vendors. And the raffle is always good.
I hope to see some of you there.
